DrawingPhin is an AI-assisted software service for mechanical drawing review, FAIR generation, and structured drawing analysis.

This Privacy Policy explains how we collect, use, share, and protect personal information when you visit our website, create an account, use DrawingPhin, purchase credits or subscriptions, or contact us.

Engineering drawings, uploaded files, OCR results, FAIR data, drawing review results, and exported reports are handled separately under our Engineering Data & AI Policy.

2. Information We Collect

We may collect the following types of personal information.

Account Information

This may include your name, email address, company name, role, login credentials, and account settings.

We use this information to create and manage your account, authenticate users, provide support, and operate the service.

Billing Information

If you purchase credits, subscribe to a plan, or make a payment, we may collect billing-related information such as billing name, billing email, payment status, subscription plan, invoice records, tax-related information, and purchased credit history.

Payment card details are processed by a payment processor. DrawingPhin does not need to store full credit card numbers.

Usage and Log Data

We may collect service usage and technical log information, such as login activity, feature usage, credit usage, processing status, error logs, device information, browser information, and IP address.

We use this information to operate the service, calculate credits, prevent abuse, troubleshoot issues, improve reliability, and protect the security of DrawingPhin.

Support Communications

If you contact us, we may collect the information you provide, such as email content, screenshots, support details, and troubleshooting notes.

Please avoid sending sensitive drawings by email unless necessary.

Marketing Preferences

If you sign up for updates or marketing communications, we may collect your email address, company name, communication preferences, campaign source, and unsubscribe status.

You can unsubscribe from marketing emails at any time.

3. Engineering Data Is Handled Separately

Mechanical drawings and related technical outputs are treated as Engineering Data.

Engineering Data may include uploaded drawings, PDFs, images, OCR results, FAIR data, drawing review findings, user corrections, project files, and exported reports.

Engineering Data is governed by our Engineering Data & AI Policy and Security documentation.

In summary:

  • customer drawings remain customer property;
  • customer drawings are used to provide the service;
  • customer drawings are not used to train AI models;
  • customer drawings are not sold to third parties;
  • users may delete unconfirmed local drafts at any time; self-service deletion of confirmed, server-saved project history is not yet available in the product.

4. How We Use Personal Information

We use personal information to:

  • create and manage accounts;
  • authenticate users;
  • provide access to projects and services;
  • process payments, subscriptions, invoices, and credits;
  • provide customer support;
  • send service notices, receipts, security messages, and account updates;
  • detect fraud, abuse, unauthorized access, and security issues;
  • troubleshoot errors and improve service reliability;
  • understand product usage and improve DrawingPhin;
  • send marketing communications where permitted;
  • comply with legal, tax, accounting, and regulatory obligations.

DrawingPhin does not sell personal information.

5. Cookies and Analytics

DrawingPhin may use cookies, similar technologies, and analytics tools to keep users signed in, remember preferences, understand website traffic, measure product usage, diagnose errors, and improve the service.

We do not intend to use analytics tools to record drawing contents, full project contents, full OCR text, or sensitive engineering details.

Where required by law, we may provide cookie consent options.

6. Marketing Emails

DrawingPhin may send product updates, onboarding messages, feature announcements, educational content, and pricing updates where permitted by law.

Marketing emails will include an unsubscribe option.

Even if you unsubscribe from marketing, we may still send transactional or service-related messages, such as receipts, account notices, password reset messages, security alerts, and important service updates.

7. Sharing Personal Information

We may share personal information with service providers that help us operate DrawingPhin, such as:

  • hosting providers;
  • authentication providers;
  • database and storage providers;
  • payment processors;
  • email providers;
  • analytics providers;
  • customer support tools;
  • security and monitoring providers;
  • AI and OCR providers where needed to provide the service.

These providers may process information only for service-related purposes.

8. International Processing

DrawingPhin is operated from Canada, but we may use service providers located in Canada, the United States, or other countries.

This means personal information may be processed outside your province, state, or country of residence.

We keep personal information only as long as reasonably necessary for the purposes described in this policy, including account management, service delivery, billing, tax and accounting records, security, support, legal compliance, dispute resolution, and fraud prevention.

If you delete your account or request deletion, some information may be retained where required for legal, billing, security, fraud prevention, or legitimate business purposes.

You may request deletion of your account.

Account deletion may remove or anonymize account information, project metadata, and related service data according to our retention rules.

Some information may be retained where necessary for billing records, legal compliance, fraud prevention, security, dispute resolution, or backup and operational requirements.

We use reasonable technical and organizational safeguards to protect personal information.

No online service can guarantee absolute security. Users are responsible for maintaining the security of their account credentials and using the service responsibly.
